To provide our residential housing society management services, we collect the following types of information:

  • Account & Resident Information: Names, flat/unit numbers, email addresses, and phone numbers provided by the society management committee or directly by residents.
  • Platform Data: When utilizing notification services, we process phone numbers, message content (such as visitor alerts and payment reminders), and delivery status metadata.
  • Visitor Logs: Information regarding guests, delivery personnel, and service staff entering the society premises.
  • Financial Data: Records of maintenance payments and dues. (Note: SocietyOS does not store raw credit card or bank credentials; these are processed by secure, compliant payment gateways).

2. How We Use Your Information

We use the collected information solely to operate, maintain, and improve the SocietyOS platform on behalf of our clients (the society management committees). Specifically, we use your data to:

  • Send critical automated alerts, including visitor approvals, maintenance invoices, and society-wide announcements via WhatsApp and other channels.
  • Facilitate day-to-day society administration, accounting, and communication.
  • Respond to resident inquiries and provide customer support.
  • Ensure the security and integrity of our platform and the society premises.

3. Data Sharing and Third-Party Services

SocietyOS does not sell, rent, or trade personal data to third parties for marketing or advertising purposes. We only share information with trusted service providers strictly to facilitate our platform's functionality:

  • Meta Platforms, Inc. (WhatsApp): We share phone numbers and notification content with Meta exclusively to deliver messages via the WhatsApp Business API. Meta processes this data to facilitate message delivery in accordance with their terms.
  • Cloud Hosting & Infrastructure: Data is stored on secure cloud servers to ensure platform reliability and data security.

4. Data Retention and Security

We implement industry-standard security measures, including encryption and strict access controls, to protect your data from unauthorized access or disclosure. Personal information is retained only as long as the housing society remains a client of SocietyOS, or as required by applicable law. Once a society terminates its contract, or a resident moves out, their associated personal data is securely deleted or anonymized.

5. User Rights and Data Deletion

You have the right to access, correct, or request the deletion of your personal information. Because SocietyOS acts as a data processor on behalf of the society management committee (the data controller), residents should primarily direct data requests to their respective committees.

Data Deletion Request:

If you wish to revoke consent for WhatsApp notifications, have your phone number removed, or request the complete deletion of your profile, you may:

  • Contact your society's management committee directly through the SocietyOS app.
  • Email our privacy team at admin@societyos.com with your request. We will coordinate with your society administrator to process the deletion within applicable legal timeframes.
